About Your Telephone

The figure below depicts the 7406 Plus telephone.

To familiarize yourself with the buttons and features on your telephone, refer to the figure below and then read the callout explanations for the buttons and features.

 

Call Appearance/Feature Buttons

These five buttons are call appearance buttons; used for incoming and outgoing calls and labeled with an extension number. Each has a red light to tell you that this is the line you are using or that this is the line you will get when you lift your handset. The green status light next to each call appearance and feature button tells you that the line or feature is being used.

Conference/Ring Button

For setting up conference calls. When used with <Select>, for selecting a personalized ringing pattern for your telephone.

Dial Pad

The standard 12-button pad for dialing phone numbers and accessing features. The letters "Q" and "Z" have been added to the appropriate dial pad keys for directory access, and the "5" button on your dial pad has raised bars for visually impaired users.

Display

A built-in 2-line by 24-character display.

Drop/Test Button

For disconnecting from a call or dropping the last party added to a conference call. When used with <Select>, for performing a test of the lights and ringer on the telephone.

Handset

For placing and answering calls. This is sometimes called the "receiver".

Hold Button

For putting a call on hold.

Line Jack

Used for connecting a line cord to your telephone. Located on the back of your telephone, this jack is labeled "LINE".

Message Light

A red light that goes on when a message has been left for you.

Mute Button

For turning off the microphone associated with the handset or the built-in speakerphone so the other person on the call cannot hear you.

Note: If your telephone is set for the Speaker (listen-only) feature, pressing <Mute> while on a call using the handset will affect only the microphone associated with the handset. When you use the Speaker (listen-only) feature, the Mute feature is also activated and the light next to <Mute> is always on.

Select Button

Can be used in four different ways:

·         With a 2-level feature button to access the top-labeled feature;

·         With <Drop/Test> to initiate a test of your telephone;

·         With <Conference/Ring> to select a personalized ring from among eight available patterns; or

·         With <Speaker/Reset Spkr> to perform an acoustic test of the environment and adjust the speakerphone to the surrounding acoustic environment for optimal performance.

Speakerphone/Headset Jack

Located on the back of your telephone, this jack is used for connecting an external speakerphone or a headset adapter to your telephone.

Speaker/Reset Speakerphone Button

For accessing the speaker or the built-in speakerphone and microphone combination. When you touch <Select> and then <Speaker/Reset Spkr> (if your telephone is set for the Speakerphone feature), you hear a set of tones as the speakerphone performs an acoustic test of the environment. When the tones stop, your speakerphone has finished adjusting itself for optimal performance and is ready for use.

Note: Your telephone can be set for either the Speaker (listen-only) feature or the Speakerphone (listen and speak) feature. Check with your system manager to see how your Speaker button is to be used.

Transfer Button

For transferring a call to another telephone.

Two-Level Feature Buttons

Each of these 6 buttons access two features -- the feature printed on the top half and the feature printed on the bottom half of the label. To access the features on the top half, use <Select> in conjunction with the feature button.

Two-Level Feature Buttons (with Lights)

These three feature buttons access two features, one printed on the top half of the label and one printed on the bottom half of the label. Each has a green light beside it so that you know when it is active. In order to access the top feature, press <Select> and then the feature button.

Volume Control Button

For adjusting the volume of the built-in speakerphone, or for adjusting the volume of the ringer.

 

 

 

Conventions

Conventions Used in the Procedure Descriptions

<Feature> and <Feature xxxxx>

Each of these represents a button that has a feature assigned to it. The button is labeled with a feature name, sometimes followed by an extension number or a person's name (shown as xxxxx).

{handset tone}

The tone that appears in curly quotes after a step indicates what you should hear from your handset after successfully performing that step.

Display Information

Information that is offset represents the display screen.

Special Instructions

As you operate the features on your telephone, keep in mind the following general rules.

·         Carefully follow all the steps listed in the procedure for the particular feature you are using.

·         If you receive an intercept tone (high-pitched, alternating high and low tone) while attempting to operate any feature, you have taken too much time to complete a procedural step or have made a dialing error. Hang up, get dial tone, and return to Step 1.

·         You can activate and cancel most of the features by dialing a 2- or 3-digit code.

 

 

 

Feature Finder

Call Forwarding All Calls

Temporarily forwards all your calls to another extension or to an outside number, depending on your system. Use when you will be away from your telephone and you want your calls to be forwarded to a phone number of your choice.

Call Pickup

Lets you answer a call at your telephone for another extension in your pickup group. Use when you wish to handle a call for a group member who is absent or otherwise unable to answer.

Note: You can only use this feature if you and the called party have been assigned to the same pickup group by your system manager.

Conference

Allows you to add parties to a call, so that you can conduct up to a 6-way conversation. (If you wish to conference more than six parties, call your attendant for assistance.) Use to set up timesaving conferences, or to spontaneously include a party important to a discussion.

Drop

Disconnects from a call without requiring you to hang up the handset or press the switchhook. Can also be used with the Conference feature to disconnect the last party added. Use whenever you are using the built-in speaker instead of the handset, or whenever you are using the handset and want to continue using it for another action after ending a call.

Hold

Puts a call on hold until you can return to it. While a call is on hold, you can place another call, activate another feature, answer a waiting call, or leave your telephone to perform another task. Use when you have a call that you don't wish to drop, but which you have to interrupt briefly to do something else.

Mute

Turns off the microphone of the built-in speakerphone or handset. Use when you want to confer with someone in the room with you, but you do not want the other person on the call to hear your conversation.

Select Ring

By pressing <Shift> and then pressing <Conference/Ring>, you can select a personalized ring from among eight available patterns. Use to distinguish your ring from that of other nearby telephones.

Send All Calls

Temporarily sends all your calls directly to your voice mail. Use when you will be away from your desk for awhile, or when you do not wish to be interrupted by telephone calls.

Speaker

Allows you to place calls or access other voice features without lifting the handset. However, in order to speak to the other person, you must use the handset (the speaker must be off). Use with feature activities that require listening only, such as on-hook dialing, monitoring calls on hold, and group listening situations.

Note: Your telephone has either the Speaker (listen-only) or the Speakerphone function. Check with the system manager to see how your telephone is set.

Transfer

Transfers a call from your telephone to another extension or outside number. Use when your caller needs to speak further with someone else.

Note: Calls from an outside number to your telephone can be transferred only to an extension, not to another outside number.

 

Call Forwarding All Calls

 

To temporarily redirect all calls:

1.      Press <Call Fwd> while on-hook or off-hook.

or, Dial the Call Forward code *2.

Note: If you have console permission and are not forwarding your own calls, dial the extension number whose calls are to be forwarded. You will receive dial tone.

2.      Dial the extension or phone number where calls are to be sent.

{confirmation tone}

Note: Some telephones have restrictions on where calls can be forwarded (see your system manager).

3.      Hang up.

Note: You may hear a ring-ping tone from your telephone as each call is forwarded.

 


 

To cancel Call Forwarding:

1.      Press <Call Fwd> again while on-hook.

or, Dial the Call Forward Cancel code #2.

{confirmation tone}

o        Your calls will now ring at your own telephone.

 

Call Pickup

 

To answer a call placed to your pickup group when your phone is idle:

1.      Press <Call Pickup>.

or, Dial the Call Pickup code *7.

o        You are connected to the ringing call.

 


 

To answer a new call while active on another:

1.      Press <Hold>.

o        The present call is put on hold.

o        The green light flutters.

2.      Press <Call Pickup>.

o        The called telephone stops ringing.

o        You are connected to the incoming call.

Note: To return to the call on hold after completing call pickup, press the fluttering call appearance button.

 

Conference

 

To add another party to a call:

Note: Your conference call can include up to six parties, including yourself.

1.      Press <Conference/Ring>.

{dial tone}

o        The present call is put on hold.

o        You are given a new call appearance button.

o        All other parties remain connected to each other.

2.      Dial the number of the new party and wait for an answer.

Note: You can discuss the call privately with the new party at this time. If the line is busy or there is no answer, press the fluttering call appearance button to return to the call on hold.

3.      Press <Conference/Ring> again.

o        All parties are now connected.

4.      Announce the call.

5.      To establish additional conference connections, repeat Steps 1 through 4.

 


 

To add the call on hold to another call to which you are connected:

1.      Press <Conference/Ring>.

{dial tone}

o        The hold light continues to flutter.

o        The current call light flutters.

o        You are given a new call appearance button.

2.      Press the call appearance button of the call on hold.

3.      Press <Conference/Ring> again.

o        All parties are now connected.

4.      Announce the call.

 


 

To drop the last party added to a conference call:

1.      Press <Drop/Test>.

o        The last party added to the conference call is dropped.

o        You remain connected to the other parties.

Note: The parties other than the last one must disconnect to be released from the conference call.

 

Drop

 

To disconnect from a call:

1.      Press <Drop/Test>.

Note: If you press <Drop/Test> during a conference call, the last party added will be dropped, and you will remain connected to the other parties.

 

Hold

 

To put a call on hold:

1.      Press <Hold>.

o        The green light flutters.

o        The call is put on hold.

Note: If you put a conference call on hold, the other parties remain connected.

 


 

To return to the call on hold:

1.      Press the call appearance button of the call on hold.

o        You are connected to the call on hold.

Note: If you are active on a call and press the call appearance button of the call on hold, the active call will be dropped.

 


 

To answer a new call while active on another:

1.      Press <Hold>.

o        The green light flutters.

o        The present call is put on hold.

2.      Press the call appearance button of the incoming call.

o        You are connected to the incoming call.

 

Mute

 

Note: When you are talking on the handset, the Mute feature affects the microphone associated with the handset rather than the speakerphone.

This feature has no effect on an external speakerphone attached to the telephone.

To prevent the other party from hearing you:

1.      Press <Mute>.

o        The red light goes on.

o        The other person cannot hear you.

2.      When you are ready to resume your conversation with the other person, press <Mute> again.

o        The red light goes off.

o        The other person can hear you again.

Note: When the telephone is set for the Speaker (listen-only) feature, the Mute feature is activated and the light next to <Mute> goes on whenever you are using the speaker.

The Mute feature turns off automatically when you hang up, or switch from the speakerphone to the handset, or from the handset to the speakerphone.

 

Select Ring

 

To select a personalized ringing pattern:

1.      Press <Select>.

o        The green light goes on steadily.

2.      Press <Conference/Ring>.

o        The green light next to <Select> winks.

o        The current ringing pattern plays and repeats every four seconds.

o        The display shows <PERSONAL RING #x> (where x is a number from 1 to 8).

3.      Continue to press <Conference/Ring> to cycle through all eight ringing patterns.

4.      When you hear the desired ringing pattern, press <Select> again.

o        Your new ringing pattern is set.

o        The light next to <Select> goes off.

Note: If you receive a call, go off-hook, or lose power during selection, the process is interrupted and you must start again.

 


 

To adjust the ringer volume:

1.      To raise the volume, press the right half of the Volume control button. To lower the volume, press the left half of the Volume control button.

o        The display shows:

RINGER L >>>>> H

On the display, one arrow indicates the lowest setting, and eight arrows indicate the highest setting.

Note: There are eight possible volume settings.

 

Send All Calls

 

To send all calls (except priority calls) to coverage:

1.      Press <Send Calls> while on-hook.

or, Dial the Send All Calls code *3.

Note: You may hear a ring-ping tone from your telephone as each call is forwarded.

 


 

To cancel Send All Calls:

1.      Press <Send Calls> again while on-hook.

or, Dial the Send All Calls Cancel code #3.

Speaker

 

Note: Your telephone is set for either the Speaker (listen-only) or the Speakerphone (listen and speak) function. Check with your system manager to see which of these two features you can use.

You can use the Reset Speakerphone feature only if your telephone is set for Speakerphone (listen and speak).

Use the following procedures if your telephone is set for the Speaker (listen-only) feature.

To answer or place a listen-only call:

Note: In order for the other person to hear you, you must speak through the handset.

1.      Press <Speaker/Reset Spkr>.

o        The green light next to <Speaker/Reset Spkr> goes on.

o        The red light next to <Mute> goes on.

2.      Place a call, or access the selected feature.

3.      Adjust the speaker volume if necessary.

To raise the volume, press the right half of the Speaker Volume control button. To lower the volume, press the left half of the Speaker Volume control button.

o        The display shows:

SPEAKER L >>>>> H

On the display, one arrow indicates the lowest setting, and eight arrows indicate the highest setting.

Note: There are eight possible volume settings.

 


 

To change from the speaker to the handset:

1.      Pick up the handset.

o        The green light next to <Speaker/Reset Spkr> goes off.

o        The red light next to <Mute> goes off.

o        The speaker goes off.

 


 

To change from the handset to the speaker:

1.      Press <Speaker/Reset Spkr>.

o        The green light next to <Speaker> goes on.

o        The red light next to <Mute> goes on.

o        The speaker is active, and the handset is turned off.

Note: If you want to speak to the other person, you must pick up the handset (which turns off the speaker). If you hang up the handset, the call is disconnected.

 


 

To prevent the other party from hearing you:

1.      Press <Mute>.

o        The red light goes on.

o        The other person cannot hear you.

2.      Press <Mute> again to resume speaking to the other person.

o        The red light goes off.

o        The other person can hear you again.

 


 

To end a call when using the speaker:

1.      Press <Speaker/Reset Spkr>.

o        The green light next to <Speaker/Reset Spkr> goes off.

o        The red light next to <Mute> goes off.

 

Transfer

 

To send the present call to another number:

1.      Press <Transfer>.

{dial tone}

o        The present call is put on hold.

2.      Dial the number to which the call is to be transferred.

{ringback tone}

3.      Remain on the line and announce the call. If the line is busy or there is no answer, return to the call on hold by pressing its call appearance button.

4.      Press <Transfer> again.

o        The call is sent to the dialed number.

Note: Only calls from another extension can be sent to an outside number; you cannot transfer a call from an outside number to another outside number.

5.      Hang up.
